Overview
We are seeking a highly capable Executive Assistant to support a senior principal in a founder-led operating environment that functions more like a family office than a traditional corporation.
This role requires exceptional polish, judgment, discretion, and comfort operating in a fast-moving, high-expectation setting. While the organization presents with a professional, corporate standard externally, it operates internally with the pace, ambiguity, and proximity typical of a family office or early-stage operating platform.
This is a long-term role (4–5 year horizon) for someone who thrives in close partnership with leadership and is comfortable balancing structure with flexibility.
Travel & Availability (Important)
This is a travel-intensive, availability-driven role.
Candidates must be prepared for:
Extended domestic and international travel, including assignments ranging from 1 week up to 60 consecutive days
Periods of heightened availability during travel and active transaction cycles
Variable work rhythms depending on geography and business cadence
While travel is not constant, readiness to travel is a core condition of employment. During extended international assignments, responsiveness is expected, though work typically follows local business rhythms and includes natural breaks during the day. After prolonged travel periods, short recovery time is generally provided.
When not traveling, the role is office-based in West Palm Beach, with an expected start time of 8:00 a.m. to prepare for the principal’s day.
Role Composition
This role is approximately:
90% Executive Assistant responsibilities
~10% limited personal execution, used rarely and only to ensure continuity of operations
This is not a Personal Assistant or lifestyle-management role.
Key Responsibilities
Executive Support
Manage complex calendars across time zones with strong judgment and prioritization
Control executive access and scheduling with discretion and confidence
Draft, coordinate, and manage executive communications
Prepare the principal for meetings, travel, and engagements
Track follow-ups, commitments, and priorities with precision
Represent the principal in scheduling and logistics conversations
Travel & Logistics
Coordinate domestic and international travel itineraries
Prepare and manage travel documentation and logistics
Support continuity of work during extended travel periods
Ensure seamless transitions between offices, hotels, and temporary workspaces
Limited Personal Execution (Exception-Based)
Provide backup coverage when the Personal Assistant is unavailable
Support travel-related personal execution, including:
Packing and unpacking luggage
Organizing hotel suites or temporary workspaces
Managing reservations while traveling
Personal tasks are infrequent, situational, and strictly tied to executive mobility and continuity
Authority & Boundaries
Authorized to speak on behalf of the principal regarding scheduling, logistics, and availability
Not authorized to represent the principal on financial, commercial, or monetary matters without explicit direction
Expected to exercise judgment, discretion, and restraint at all times

Qualifications
5–7 years of experience as an Executive Assistant
Strong preference for experience supporting UHNW individuals, principals, or family offices
Open to senior corporate EAs with heavy travel and exceptional judgment
High mobility and flexibility required
Valid passport and ability to obtain international visas
Proficiency with Outlook and Microsoft Teams required
Familiarity with iManage or Clio is helpful but not required
